1. Who this covers
This policy explains how MarkPad handles personal information belonging to account holders (teachers, facilitators, assessors and admins) and to learners whose work is uploaded for marking.
2. What we collect
- Account data — email address, sign-in metadata, role, and workspace settings such as brand colours, rubric templates and notification preferences.
- Uploaded files — learner workbooks, memos, rubrics, uploaded signature images, logos and banners.
- Marking data — annotations, per-page scores, feedback text, judgements and export history.
- Operational logs — grading run status, errors and notification delivery attempts, used to debug failures and show run history.
3. Why we process it
To create and secure your account, to run the marking and annotation features you request, to generate annotated PDFs and feedback reports, to send the run notifications you switch on, and to keep the service reliable and secure.
4. AI processing
When you run automated marking, page content is sent to our AI model provider to produce draft marks and feedback. It is processed to answer that request and to return results to you. We do not use your learner work to train public models.
5. Storage and access
Files live in private storage. Row-level security means each account can only read its own workbooks, exports, branding assets and settings. Signed, expiring links are used when a file needs to be displayed in the app.
6. Sharing
We share data only with the processors that run the product — hosting and database/storage infrastructure, the AI model provider used for marking, and the email provider used for notifications — and where the law requires it. We do not sell personal information.
7. Retention
Workbooks and exports are kept while your account is active so you can revisit or re-download them. Delete individual submissions at any time, or close your account to have stored content deleted or anonymised within a reasonable period.
8. Your rights
Depending on where you are, you may ask for access to, correction of, a copy of, or deletion of your personal information, and you may object to certain processing. Contact us and we will respond within the period the law allows.
9. Learner information
As the account holder you are the responsible party (controller) for learner work you upload; MarkPad acts as an operator (processor) on your instructions. Make sure you have the lawful basis or consent your institution requires before uploading learner material.
